When you sign up for PACScribe, we ask for your name, organization/facility name, role, and email address. This information allows us to set up your account, provide technical support, and send you important communications such as billing receipts, security updates, and service notices. You can opt out of receiving non-essential email communications at any time.
We will never rent, sell, or share your personal information with third parties for marketing purposes.
When you send us an email or submit a support ticket, that message, along with your email address, is retained in our secure communication system for reference, troubleshooting, and compliance documentation purposes.
PACScribe supports multi-user access with role-based permissions. You can grant access to your imaging data and account features to authorized personnel (radiologists, technologists, administrators, clinicians) by creating separate login credentials and assigning specific permission levels. These permissions control what data each user can view, edit, or export.
Third-party access: Healthcare networks, vendor partners, and external organizations cannot access your data without your explicit authorization. Access to your imaging data is granted only through deliberate account actions on your part, such as exporting files or sharing credentials.
If you request technical support, our support team may access your account to diagnose and resolve issues. Our support staff can only view your data and account settings; they cannot modify, delete, or export your imaging data or patient information. All support access is logged with details including date, time, support staff identifier, and reason for access. These logs are retained for compliance and security auditing purposes.
All data transmitted between our servers and your devices (computers, tablets, mobile devices) is encrypted using TLS 1.2 or higher, the same security protocol used by financial institutions and healthcare providers. This ensures that imaging files, user credentials, and any other sensitive information cannot be intercepted during transmission.
All PACScribe data is stored in US-based data centers maintained with 24/7 physical security, including restricted access, surveillance, and environmental controls. Your imaging data is also replicated to additional US-based secure facilities with equivalent security measures, providing both redundancy and disaster recovery protection. All database backups are encrypted using AES-256 encryption.
Your data belongs to you. You can download all of your imaging data, metadata, and related information at any time directly from your account. PACScribe generates your data in standard spreadsheet and image formats compatible with Excel and other industry-standard applications.
PACScribe does not store or process payment card information on our servers. When you enter credit card or billing information, that data is transmitted directly to our third-party payment processors (PCI-DSS certified vendors), who handle all payment processing securely.
Our payment processors comply with the PCI Data Security Standard (PCI-DSS), a set of security requirements jointly maintained by Visa, Mastercard, American Express, and Discover. These standards ensure that payment information is encrypted, stored securely, and never accessible to PACScribe systems.
Your contact information (email, billing address) is used solely for billing purposes and to provide you with receipt documentation. We do not store your full payment card number, expiration date, or security code.
Healthcare Compliance: PACScribe is designed for use by authorized healthcare professionals in HIPAA-regulated environments. As a healthcare provider or facility, you are responsible for ensuring that all patient data uploaded to or processed through PACScribe complies with applicable healthcare privacy laws, including HIPAA, state privacy laws, and international regulations such as GDPR.
From time to time, PACScribe may send promotional, informational, or educational emails to healthcare providers and facility administrators using our platform. These communications may include product updates, feature announcements, best practices for medical imaging workflows, industry insights, and other information we believe may be of interest to you.
Any user may opt out of receiving promotional or marketing emails and manage communication preferences directly in the account settings.
Processing time: It may take up to 10 business days for us to fully process and implement your opt-out request across all marketing systems. During this period, you may receive marketing emails in transit before your preference is updated.
Even if you opt out of marketing emails, we will continue to send you:
These transactional communications are necessary to maintain your account, ensure platform security, and comply with legal and contractual obligations. You cannot opt out of these critical messages while maintaining an active PACScribe account.
PACScribe may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors. We will notify you of material changes by posting the updated policy on our website and updating the "Last Updated" date at the top of this document. Your continued use of PACScribe following any modifications constitutes your acceptance of the updated Privacy Policy.
